The Converse County Tourism and Promotion Board (CCTPB) seeks a dynamic Administrator to lead the organization in promoting Converse County as a premier destination for local travelers, events, and tourism.

Qualifications

  • Requires strong organizational skills, strong computer and internet research skills, flexibility, excellent interpersonal skills, project management, and the ability to work well with all levels of CCTPB members, city of Douglas and city of Glenrock business owners, associated city, county, state, and local organizations involved in promoting travel and tourism within Converse county, city and county elected officials, public, vendors, and visitors
  • Knowledge of all CCTPB budgets
  • Knowledge of CCTPB grant application requirements
  • Help team maintain high professional standards, particularly with timely, written communication, and help foster strong cross-team collaborations
  • Strong organizational skills and ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and ability to build relationships with stakeholders, including CCTPB team, and external partners
  • Expert level written and verbal communications skills
  • Demonstrated proactive approaches to problem-solving with strong decision making capability
  • Proven ability to handle confidential information with discretion
  • Adaptable to various competing and changing priorities, demonstrates highest level of guest service and response
  • Strong skills in Word, Excel, Powerpoint and other office software
  • Must have knowledge and skill in Quickbooks accounting program.
  • Quick learner on new programs as identified

Responsibilities

  • This is an integral role with the Converse County Tourism and Promotion Board (CCTPB)
  • Provide administrative support for CCTPB Chair and Treasurer
  • As directed by the Board, assists in preparing monthly meeting agendas and taking minutes
  • Perform initial review of grant applications to ensure they meet criteria and respective deadlines. Communicate with applicants in a timely manner if criteria has not been met. Forward completed grant applications to the CCTPB for review prior to scheduled monthly board meetings
  • On a monthly basis work with the CCTPB Treasure on invoices. Compare invoices to the marketing plan, past payments, and advertising agreements to ensure they follow the marketing plan and should be paid. Upload respective information to Quickbooks. In conjunction, review the project list to ensure adequate progress is being made on the projects outlined in the CCTPB marketing plan, approved each June. Invoices shall be processed no later than the 15th of each month, unless directed otherwise by the CCTPB Treasurer
  • As directed, responsibilities may include preparing reports and financial data
  • Keeps in regular communication with State Tourism to keep abreast of upcoming opportunities. Attend webinars and any other educational or networking events made available, such as the Governor’s Hospitality and Tourism convention in January, and as deemed appropriate by the CCTPB
  • Attend the State Tourism Fall Summit to ensure CCTPB remains eligible for the state grant funds
  • Actively engage and build rapport with local lodging property owners and local businesses throughout Converse County to foster open communication and a strong connection to the community. In conjunction, maintains a comprehensive knowledge of programs and resources available to businesses
  • Work with the CCTPB marketing consultant to build and enhance the e-leads / Constant Contact email list. Using the Constant Contact platform, develop a policy to improve how information about local events is disseminated. The policy shall include timelines to ensure respective information is sent out prior to event occurrences
  • Sensitivity to confidential matters is expected
  • Assist with scheduling and changing priority management
  • Be familiar with Bylaws and ensure Bylaws are current and available
  • Assist with special projects as needed, e.g., annual Marketing plan, budget plan, scheduling, organization, and meeting tracking
  • Schedule and support team functions – team meetings, annual planning and budget meetings, team functions, track outcomes from team meetings
  • Research and offer best practices, technology recommendations, etc.
  • Keep CCTPB Chairperson apprised of changing needs, issues and opportunities
  • Help drive overall CCTPB operational efficiency
  • Manage executive files and records
  • Manage independent projects as assigned
